HubSpot integration — bookings as HubSpot contacts and meetings

Connect HubSpot once and every booking made through your WhenMeet.me booking link finds or creates the HubSpot contact and logs a meeting on it. Reschedules and cancellations update the same meeting.

What WhenMeet.me does with HubSpot

What happens when a meeting is booked, moved or cancelled

Booked
The contact is found by email or created, and a meeting with outcome “Scheduled” is logged and associated with it (and with any guests).
Rescheduled
The same meeting gets the new start and end time and the outcome “Rescheduled”.
Cancelled
The same meeting’s outcome is set to “Canceled”.

How to set it up

  1. Sign in to WhenMeet.me and open /links.
  2. In Integrations, click Connect next to HubSpot and approve access in HubSpot.
  3. Book a test meeting on your own booking link and check the contact in HubSpot.

Permissions requested

WhenMeet.me requests only the OAuth scopes it actually needs:

HubSpot integration FAQ

Does WhenMeet.me create duplicate HubSpot contacts?

No. It searches for the contact by email first and creates one only when none exists.

Can I import my HubSpot Meetings links?

Yes. With HubSpot connected (including the optional Meetings scope), the import panel on /links turns your personal HubSpot Meetings links into WhenMeet.me booking links — name, duration, buffer, booking window and form fields. Weekly hours, location and minimum notice are not copied; the preview flags them for review. Team (round-robin) links are skipped and have to be recreated as team links.

What happens when I disconnect HubSpot?

The connection is removed and WhenMeet.me revokes its HubSpot refresh token. Contacts and meetings already logged stay in HubSpot.
