WhenMeet.me is a free group-scheduling tool that finds when everyone can actually meet — across companies and calendar providers — without the back-and-forth of a poll.
Most tools make every participant fill in a grid by hand. WhenMeet.me reads Google or Microsoft Free/Busy and can include public iCloud feeds added by participants, then shows the whole group’s overlapping availability as a single heat-map. Anyone who does not publish a calendar — including Apple iCloud users, Proton users and people with no calendar at all — can mark free time once at /free. Confirm a time and WhenMeet.me writes the event to the host’s connected calendar with a Google Meet or Microsoft Teams link and emails ICS invites to everyone else.
The same engine powers booking links: connect your calendar and whenmeet.me/@you is live, with no signup form and nothing to configure. Visitors who connect their own calendar see only the times that suit both sides; team links cover “everyone must be there” and “anyone from the team”. Bookings can flow into HubSpot, a Slack channel or a signed webhook.
