Paste a Calendly personal access token and WhenMeet.me reads your active one-on-one event types, shows a preview with warnings, and creates booking links from the ones you tick. The token is used once and never stored.
Import from CalendlyTime needed: About 5 minutes, plus a few minutes per link to review defaults
What moves over automatically
Active one-on-one event types — name and slug (normalised, name up to 120 characters)
Duration (main duration, rounded to 5 minutes, 5–480 min)
Description as plain text, up to 2000 characters
Weekly hours and time zone of each event type (or your default Calendly schedule), saved on that link
Up to 10 form questions with required/optional; phone and choice questions become free-text fields (choices listed in the label)
Google Meet or Microsoft Teams location
What you set up again
Round robin, collective and other team event types — recreate them as team links (shown as skipped in the preview)
Group events, one-off meetings, meeting polls, secret and inactive event types are not imported
Minimum notice, booking horizon, buffers, start-time interval, daily limit and reminders — the Calendly API does not expose them, so WhenMeet defaults apply (4 h notice, 60 days, 0 min buffers, 24 h and 1 h reminders) and the preview warns you
Extra duration options — only the main duration is imported
Date-specific availability overrides
Zoom or other video providers, phone and in-person locations
Workflows, routing forms, payments and SMS reminders
Calendar, CRM and webhook connections — reconnect them in WhenMeet.me
How to switch from Calendly
Create a Calendly personal access token. In Calendly open Integrations → API & Webhooks → Personal Access Tokens, choose Generate new token, name it and copy it. Calendly shows the token only once. Tick users:read, event_types:read and availability:read if scopes are offered.
Open Import in WhenMeet.me. Sign in and go to Links → Import & embed, with Calendly selected as the source.
Paste the token and preview. Paste it into "Calendly personal access token" and click Preview import. The preview lists the links to create, what was not imported and what to review after import.
Import the links you want. Untick anything you do not need and click the Import button (for example "Import 3 links"). The token is discarded right after.
Review the imported settings. Open each link under Link types and check minimum notice, booking horizon, buffers and reminders, which use WhenMeet defaults. Recreate team event types with + New link type and the Team link option.
Replace the old link everywhere. Swap the old URL for your whenmeet.me link in your email signature, website, LinkedIn profile and CRM email sequences or templates.
Questions about switching from Calendly
Do I need a paid Calendly plan to export?
No. Calendly personal access tokens can read your own event types on any plan, including free.
Is my Calendly token stored?
No. It is used for the preview and the import request and then discarded. You can also revoke it in Calendly afterwards.
Will my round robin event types come across?
No. Team event types are listed as skipped with a reason. Recreate them as a WhenMeet.me team link ("anyone from the team" or "everyone must be there").
Are my existing Calendly bookings moved?
No. Meetings already booked stay in your calendar. Only event type settings are imported; history can be exported from Calendly as CSV.
Why are my minimum notice and buffers different?
Calendly’s API does not return them, so the imported link uses WhenMeet defaults and the preview tells you to review them.
